Welcome to Paddock Events.

These Terms & Conditions govern the hire of racing simulators and related services provided by Paddock Events ("we", "our", "us"). By accepting a quotation or confirming a booking, you agree to these Terms & Conditions.

1. Booking Confirmation

All bookings are subject to availability.

A booking is confirmed only once:

  • We have issued written confirmation; and

  • Any required deposit has been received.

Until a booking is confirmed, we reserve the right to offer the requested date to another customer.

2. Quotations

All quotations are provided without obligation and remain valid for 14 days unless otherwise stated.

Prices may change if the booking requirements are altered before confirmation.

3. Payment

Unless otherwise agreed in writing:

  • A 25% deposit is required to secure your booking.

  • The remaining balance must be paid no later than 7 days before the event.

  • Bookings made within 7 days of the event require full payment at the time of booking.

Late payment may result in cancellation of the booking.

4. Cancellations

If you cancel your booking:

  • More than 30 days before the event: your deposit will be refunded, less any non-recoverable costs already incurred.

  • Between 14 and 30 days before the event: 50% of the total booking value is payable.

  • Less than 14 days before the event: 100% of the booking value is payable.

If Paddock Events is unable to fulfil your booking due to circumstances beyond our reasonable control, we will offer an alternative date where possible or refund any payments received.

5. Delivery & Collection

We will agree delivery and collection times with you before the event.

The customer is responsible for ensuring:

  • Safe access to the venue

  • Adequate loading and unloading facilities

  • Suitable parking where available

  • A safe working environment during installation and collection

Additional charges may apply if unexpected delays or access restrictions significantly increase installation or collection time.

6. Venue Requirements

The customer must ensure the venue provides:

  • Sufficient floor space for the agreed equipment

  • A suitable mains electricity supply

  • Safe indoor operating conditions unless otherwise agreed

  • Any permissions required by the venue owner

We reserve the right to refuse installation if the environment presents a health or safety risk.

7. Equipment Use

The hired equipment must only be used for its intended purpose.

The customer must not:

  • Move the equipment after installation

  • Attempt repairs or modifications

  • Allow misuse of the equipment

  • Permit operation in unsafe conditions

Where an event technician has not been booked, the customer accepts responsibility for supervising the equipment during the hire period.

Children using the equipment should be supervised by a responsible adult unless otherwise agreed.

8. Damage or Loss

The customer is responsible for any loss or damage caused through negligence, misuse, theft or deliberate damage during the hire period.

Reasonable wear and tear is excluded.

Where equipment is damaged beyond reasonable wear, the customer may be charged the cost of repair or replacement.

9. Liability

Paddock Events will exercise reasonable care and skill in providing its services.

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for:

  • Death or personal injury caused by negligence

  • Fraud or fraudulent misrepresentation

  • Any rights that cannot be excluded under UK law

Subject to the above, our total liability shall not exceed the total amount paid for the booking.

We shall not be liable for indirect or consequential losses, including loss of profits, loss of business or loss of opportunity.

10. Force Majeure

We shall not be liable for delays or failure to perform our obligations where caused by events outside our reasonable control, including but not limited to:

  • Severe weather

  • Flooding

  • Fire

  • Road closures

  • Power failures

  • Industrial disputes

  • Government restrictions

  • Other unforeseen events

11. Photography & Marketing

We may take photographs or video during events for promotional purposes.

If you do not wish photographs or video to be used, please notify us in writing before your event.

12. Privacy

Any personal information provided to us will be processed in accordance with our Privacy Policy and applicable UK data protection legislation, including the UK GDPR and the Data Protection Act 2018.

13. Intellectual Property

All branding, logos, website content and marketing materials remain the property of Paddock Events unless otherwise stated.

They may not be copied, reproduced or used without prior written permission.

14. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Any dispute arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
